Q. Why do we need this service?
A. Lots of people enter hospitals each day with little to no checks on who they are, what they are doing and why they are there.
Our system enables the hospital to track who is in the building, what their purpose of visit is and provides additional security to staff and patients with visitors identifiable by a badge with their name, photo, company, date and the level of access they have.
Q. How much will this cost us?
A. Nothing - this service is free of charge to the hospital.
Q. How much will it cost the representatives?
There are 2 levels of registration:
Basic registration is free of charge. This will gain them access to the cafeteria, main concourse and other public areas.
Premium registration costs £139 per year. This level is for representatives visiting the basic areas above plus offices, procurement, pharmacy, out-patients, wards, high risk areas, HDU, ITU and operating theatres.
Q. What credentials will be checked?
Basic registration requires a representative to log their name, photo, address, company details and contact information.
Premium registration requirements are set by the hospitals themselves.
We recommend the Premium registration requires the same as Basic registration plus Product / Public Liability insurance, a Basic Criminal Record Check, acceptance of the representative policy, an in date Hep B vaccination and a recognised theatre access course accreditation if a person requires access to the operating theatres.
Other considerations might include influenza vaccinations, a tick box for BCG, ABHI code of practice accreditation etc.
Q. What software will I need?
A. There is no special software requirement. Any computer connected to the internet with a printer will access Who Are You Ltd website to check registration level and print an appropriate visitor badge.
Q. Will we be responsible for checking all of the required documents for the users?
A. Who Are You Ltd takes all responsibility for this. The receptionist at the hospital enters a visitor number on the Who Are You Ltd website and enters who and what areas of the hospital the visitor is accessing. The site will then confirm registration level and whether access is approved or denied.
If approved a visitor badge will be printed. This details their name, photo, company, date and has a coloured tab highlighting the areas of the hospital they are visiting that day.
Grey - General hospital areas such as cafeteria and main concourse
Yellow – Offices, procurement, pharmacy and out-patients
Red - Wards, high risk areas, HDU and ITU
Blue - Operating theatres
If access is denied, the system will inform the receptionist and will require the visitor to call Who Are You Ltd to check what credential has expired or is outstanding.
Q. Do the company representatives have to pay a fee for each hospital?
A. No they pay one fee for the whole year which enables access to all hospitals as long as they comply with the relevant hospitals requirements.
Q. Will this entry system require training for the staff?
A. This is an extremely simple and user friendly system. Who Are You Ltd will take new members of staff through the log in process and if difficulties are encountered we encourage you to call us on the customer support number.
